Ebenezer is an AI digital organism platform — a managed service that connects to your communication channels, learns your preferences, and operates as a persistent AI assistant on your behalf. This Privacy Policy explains what data that relationship involves.

By using our Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, do not use the Services.

1. Information We Collect

1.1 Account Information

When you create an account, we collect:

  • Identity data: Name, email address, and authentication credentials
  • Organization data: Company name and role (if applicable)
  • Authentication tokens: OAuth credentials from identity providers you use to sign in (e.g., Google, GitHub)

1.2 Onboarding and Preference Data

During setup and ongoing use, Ebenezer collects information to personalize your AI experience:

  • Role and context: Your professional role, industry, and areas of responsibility
  • Communication preferences: Preferred tone, formality level, verbosity, and response style
  • Behavioral preferences: Scheduling habits, notification preferences, and workflow patterns
  • Custom instructions: Any explicit guidance you provide to shape your Ebenezer instance's behavior

This data is central to how Ebenezer operates - it is what allows the platform to function as a personalized digital organism rather than a generic chatbot.

1.3 Channel Connection Data

Ebenezer connects to your communication and productivity tools. When you authorize a channel connection, we may collect and process:

  • Email: Message metadata, sender/recipient information, subject lines, and message bodies from connected email accounts
  • Calendar: Event titles, descriptions, attendees, times, and locations from connected calendars
  • Messaging platforms: Messages, participants, and conversation context from connected messaging services (e.g., iMessage, Slack, Discord, WhatsApp)
  • Other integrations: Data from any additional services you connect, limited to what is necessary to provide the requested functionality

We access channel data only to the extent necessary to deliver the Services you have configured. You control which channels are connected and can revoke access at any time.

1.4 AI Conversation Logs

We store conversations between you and your Ebenezer instance, including:

  • Messages you send to Ebenezer
  • Responses generated by Ebenezer on your behalf
  • Actions taken by Ebenezer (e.g., emails drafted, calendar events created, messages sent)
  • Conversation context and memory that Ebenezer maintains to provide continuity across sessions

These logs are essential to providing a persistent, context-aware AI experience.

1.5 Usage Data

We automatically collect information about how you interact with the Services:

  • Feature usage: Which capabilities you use, frequency of use, and interaction patterns
  • Performance data: Response times, error rates, and system health metrics
  • Session data: Login times, session duration, and access patterns
  • Device and browser information: Device type, operating system, browser type, screen resolution, and IP address

1.6 Log and Diagnostic Data

Our systems generate technical logs that may include:

  • Server logs: Timestamps, request URLs, HTTP status codes, and IP addresses
  • Error logs: Stack traces, error messages, and diagnostic information
  • Security logs: Authentication attempts, access control events, and anomaly detection data

2. How We Use Your Information

2.1 Providing the Services

  • Connecting to and interacting with your authorized channels
  • Maintaining conversation context and memory across sessions
  • Executing actions on your behalf (sending messages, managing calendar, etc.)
  • Personalizing AI behavior based on your preferences and instructions

2.2 Improving the Services

  • Analyzing aggregate usage patterns to improve platform features and performance
  • Identifying and fixing bugs, errors, and service interruptions
  • Developing new features based on how the platform is used

2.3 Security and Integrity

  • Detecting, investigating, and preventing fraud, abuse, and security threats
  • Monitoring for violations of our Terms of Service
  • Protecting the rights, property, and safety of Ebenezer Labs, our users, and the public

2.4 Communication

  • Sending service-related notices (e.g., security alerts, maintenance windows, policy changes)
  • Responding to your support requests and inquiries
  • Providing onboarding guidance and product updates

2.5 Legal Compliance

  • Complying with applicable laws, regulations, and legal processes
  • Enforcing our Terms of Service and other agreements

We do not use your personal content for advertising. We do not sell your data. We do not use your data to train AI models.

3. AI Processing and Third-Party AI Providers

3.1 How AI Processing Works

Ebenezer uses large language models (LLMs) to process your requests, generate responses, and take actions. When you interact with Ebenezer, your input - along with relevant conversation history and system context - is sent to an AI model for processing.

3.2 Third-Party AI Providers

We use third-party AI model providers to power the Services, including but not limited to:

  • Anthropic (Claude models)
  • OpenAI (GPT models)
  • Google (Gemini models)

We may add or change providers as the technology landscape evolves.

3.3 What Data Is Sent to AI Providers

When processing your requests, we transmit to AI providers:

  • Your messages and commands
  • Relevant conversation history necessary for context
  • System-level instructions that define your Ebenezer instance's behavior
  • Content from connected channels when relevant to your request

We minimize data sent to AI providers to what is reasonably necessary to fulfill your request.

3.4 AI Provider Data Practices

We select AI providers and service tiers that offer strong data protections:

  • We use API and enterprise access tiers that contractually prohibit providers from using customer data to train their models
  • We maintain data processing agreements with AI providers that include confidentiality and data protection obligations
  • We evaluate provider privacy practices as part of our vendor selection process

However, once data is transmitted to a third-party AI provider, it is subject to that provider's technical infrastructure and data handling procedures.

3.5 AI Output Accuracy

AI-generated content may be inaccurate, incomplete, or inappropriate. You are responsible for reviewing and verifying any AI-generated output before relying on it or distributing it to others.

4. Data Sharing and Disclosure

We do not sell your personal information. We share information only in limited circumstances as described in our full policy.

5. Data Storage and Security

5.1 Infrastructure

Ebenezer is a managed service - we own and operate the infrastructure that runs your Ebenezer instance. Your data is stored on secure cloud infrastructure within the United States.

5.2 Security Measures

  • Encryption in transit: All data transmitted between your devices and our servers is encrypted using TLS 1.2 or higher
  • Encryption at rest: Sensitive data is encrypted at rest using AES-256 or equivalent
  • Access controls: Role-based access controls and the principle of least privilege govern internal access to user data
  • Monitoring and logging: Continuous security monitoring with alerting for anomalous activity

6. Data Retention

While your account is active, we retain your data as needed to provide the Services. Upon account closure, personal data and content are deleted within 30 days, and backup copies are purged within 90 days.

8. International Data Transfers
